CUSTOMER CARE
Customers are our most important assets, without them we have no reason to exist. It is therefore important to retain a comprehensive record of communication. The Customer Care module in PROQUIS provides you with a fully comprehensive Customer Relations Management (CRM) system.
You have ALL the information and related details about every customer, such as names, addresses, contact lists, subscriptions for email/mail shots, correspondence records, reminders, quotes, and orders.
In addition to this there is a full complaint and service Call Management System (CMS), that provides details against each customer of all problems logged, actions taken, products returned, problem-related correspondence, and analysis of the problem by reason, cause and product/service.

DOCUMENT CONTROL
Document Control is more than just Document Management, it is not only the ability to keep details of a document, or imported document, it is also the ability to track changes, restrict access, archive old versions as well as store all the associated information including improvements, rejections and the people involved.

EQUIPMENT
Calibrated and maintained equipment is essential to processes where evidence is required that control is to defined standards, without this the validity of evidence is subjective. It is also important where control is needed to ensure that usage in a process and therefore waste is kept to a minimum.
There are two fundamentals to using calibrated equipment in a process, firstly it is calibrated and maintained, and secondly it is actually available.
With PROQUIS you have the tools to ensure that your equipment is calibrated, maintained, and available. It can record Equipment details, serial numbers, vendor, date purchased, and current location, making retrieval for calibration and maintenance easy.
More importantly, you can define what checks (either calibration or maintenance) are required, how often, the procedure document to be followed and the tools and spares required. PROQUIS will then warn you when checks are due, and can also produce a calibration schedule.

For more detailed calibrations, you can set up the parameters and measures to be checked, including the tolerances and so on. PROQUIS will then automatically maintain a history of the checks as you complete them.

ISSUES AND ACTIONS
Accurate recording of issues and actions is important to any organisations wanting control over their product quality and standards of service. Without the ability to monitor issues and actions, which are a good indicator of performance and improvement, we do not have an accurate picture of the state of our organisation. Remember ignored issues, tend to grow in severity, with subsequent consequences.

Recording, monitoring and analysing your issues and actions is the Issues & Actions module. This is the centre for all problem resolution management within PROQUIS. Wherever the problems are initially recorded (via Customer Care/Complaints, Supplier Control/Actions, Audit Management/Non-compliances, etc.), these are ALL visible within this module. As such, it provides a superb centre for the monitoring and analysis of all "issues" that occur within the organization, from initiation, through rectification, and preventative actions.

For example, if a simple complaint is logged via Customer Care, this shows immediately on the Fault Log. It may then be decided that it is necessary to raise some internal actions, or vendor actions or perhaps a training review. These can all be initiated and then monitored from the Fault Log.

Notification rules can be defined based on the type, and severity of the problem, thus ensuring that all the right people are informed of problems as they happen. Operations, Quality and Systems Managers will appreciate the ability to see the big picture.

AUDIT MANAGEMENT
Planning and maintaining audit details is not always easy when you have to do it manually. PROQUIS solves this, enabling you to build and maintain your records simply and efficiently.
With it's roots in quality management, PROQUIS has a strong auditing application that lets you plan your audits as well as recording the results/answers to questions. It allows you to attach evidential documentation, and record non-compliances or problems found, with associated required actions.

You can define a tree of standards, or regulatory requirements, and associate these with your audits. PROQUIS can then monitor your audit progress against complete coverage of the standards. The same can also be done with coverage of your documented system (integrated to the Document Control module). To-do lists give you reminders of audits due, audits waiting closure, non-compliances/issues due, and waiting closure, etc.
Audit Management - Dont forget Audits could be of almost any type, not just quality audits. They could include environmental audits, health & safety audits, or just general reviews - and they may be internal or external (i.e. audits of suppliers).

HEALTH AND SAFETY
Health and Safety is an important element of today's working life, with this in mind we have developed a module for recording Health and Safety issues.

Built around the requirements of RIDDOR in the UK, and OSHA in the USA, PROQUIS provides the Accident Log for recording of any accidents, dangerous occurrences, incidents, and even reportable occupational illnesses, whilst ensuring that these are investigated and reported correctly.

With links to the Issues and Actions module for problem resolution and analysis, this area helps you ensure that recurrence is prevented.

PERSONEL AND TRAINING
People are always central to any quality assurance system. It is the people who assure the quality of products and services delivered.
PROQUIS recognizes this and provides a dual function module. First the people are PROQUIS users, with access rights and responsibilities. Second, PROQUIS lets you maintain details of duties, skills, training and other personnel-related issues, like absence, disciplinary and grievances, holidays and so on.

Every PROQUIS system comes complete with Training and Personnel record facilities.

With the ability to define reporting structures, and training plans you have at your finger tips a comprehensive, integrated, personnel and training system.

SUPPLIER (VENDOR) CONTROL
Vendor or Supplier control is a vital element to ensuring that you meet the needs of your customers, it is an important element of ISO and QS9000 systems.
PROQUIS Supplier Control provides the facilities you need to manage your supplier relationships.

Many of the basic features that are present in Customer Care, such as names & addresses, contacts and correspondence, are also available here, plus the ability to plan and record your supplier evaluations (requires the Audit Management module), and performance monitoring, and the tracking of any supplier problems and actions.

WORKS ORDERS
The Works Orders module gives you the facility to create manufacturing orders with PROQUIS. This module is closely integrated with the Products and bills of materials information, as well as being connected to the Timelogging system so you can record labour times involved in the works orders.

DESIGN AND FMEA
FMEA (Failure modes and effect analysis) is a structured method for analyzing possible failures in products, processes, or systems before these failures occur. As such it could be used for any kind of risk assessment process, such as Environmental risk assessments (for ISO14000) and Health and Safety risk assessments. PROQUIS also provides the facility to record details of all your designs or development projects and mimics the requirements of ISO9001, Design Control.

The Equipment Maintenance Request (or EMR) system is designed specifically to handle unplanned maintenance or breakdown requests.
